| Minutes of Meeting | Minutes of the 10th Meeting of the Board of Directors (2021-22) Venue: Royal Connaught Boat Club, Pune Date & Time: Thursday, 21st April 2022, 08:30 AM. Arun Saxena – Director Club Admin 4. Rtn. Pramod Sharma – Director Public Image 5. Rtn. Swarupa- Director Youth Service 6. Rtn. Satish Deshchougule- Secretery & President Elect 7. Rtn. Shani Naushad- Director-International 8. Rtn. Sandesh Gupta – Director Service Projects 1 9. Rtn. Ram Bhagwat- Director Foundation MINUTES Rtn. Navin Gupta read the minutes of the previous meeting. The minutes were approved by the BOD unanimously. In addition, following matters were discussed in the meeting. 1.Resignations: None 2. New member: We are targeting for 40+ members. Amit Nirgude will confirm in couple of months about joining. Rtn. Sandesh, Rtn. Shani and Rtn. Purnima to meet his wife for joining RCKP. Update 25.11.2021 - Rtn. Sandesh to meet them in January. Update 29.01.2022 – Status quo Update 24.02.2022 – Status quo Update 21.04.2022 – As per Rtn. Sandesh Gupta (telecom) informs that Mr. Amit Nirgude is not interested to become the member. Not to pursue the matter further – Closed Received Proposal for 2 new members – Amit Gupta and Rajan Gupta . Proposal in the specified format ( Form A and Form B) to be circulated among BOD Members for approval. In the mean time they are requested to attend the weekly meeting. Two more members - Rohit Gandhi and Dewang Kabra are also interested. Further formalities to be taken up. Update 21.04.2022 : The details of all 4 new members have been shared with the BOD and Club Member . On approval, Induction of new members will be done during weekly meeting on 5Th . May 2022. New Lady members : President Rathnakar requested to add new lady members as we lost two lady members . Membership Director Niraj to work on this. Update 24.02.2022 – Membership Director Rtn. Niraj Mehta appealed to all lady members to introduce one lady member each. Update 24.03.2022 – Status quo Update 21.04.2022 ; Rtn. Sangeeta Sareen suggested a new Member Mosumi Mitra. She has attended weekly meeting . Proposal form (form A & B) is awaited . 3. Leave of absence: NIL 4. Financials and Account Statement: Rtn. Navin Gupta updated balances as below – BOI ( Club ) – Rs. 3,49,807.35 Yes Bank ( Trust ) – Rs. 9,70,307.74 + F.D. of Rs. 5.00 lacs Regarding balance available with Rotary Uptown Club – it was decided that Rtn. Purnima, Rtn. Niraj, and Rtn. Ratnakar Shetty to meet President and Secretary of RC Uptown. Rtn. Purnima have details of donations collected and given to RC Uptown. Update 28.10.2021 – Pending Update 25.11.2021 - To check if we can pay fees of Andgaon students directly from pending amount from RC Uptown. Change of Trustee Report No change in status. CA to be contacted for 2 years pending report( Rtn. Navin / Rtn. Niraj to take up. Navin will be taking this forward with Ms Santoshi Update ( 25th September ) : Rtn. Navin Gupta is collecting PANs and Aadhar Cards for submission. Update 28.10.2021 – Rtn. Navin Gupta to follow up. Update 25.11.2021 - Rtn. Aditya to follow up. Update 30.12.2021 – Rtn. Aditya to follow up with Adv. Santoshi Pasalkar Update 29.01.2022 – In process Update 24.02.2022 – Majority of the documents are ready. Few more trustees signature required on the application . Same will be completed in weeks’ time and application to be submitted at charity commissioner office. Update 24.03.2022 – In process, application is submitted to Comm. of Charitable Trust and received the acknowledgement. Update 21.04.2022 : Scrutiny of documents in progress. Affidavit by trustees to be submitted during the next hearing . Adv will let us know the date . Adv Santoshi submitted bill for change of trustees . Total bill amount Rs 30000/- for 3 years . On her request BOD approved to release 50% of payment ie Rs 15000/- Rtn. Niraj suggested to look at possibilities of having Trustees with fixed term (Permanent Trustees) instead of going thro the process of changing trustees every year. Should dwell more on this suggestion. 6. Change of Signatories for Bank Account Transactions: Update ( 25th September ) : Documents submitted, KYC details also submitted. |
